Bulk edit lets you change many products at once in a table that behaves much like Excel, instead of opening each product on its own. You can change prices, product groups, suppliers, status, location and stock quantities, copy values between rows, and paste data straight in from Excel.
Where to find bulk edit
Bulk edit lives in the new product list, under Sales > Registration and maintenance > Products (in Icelandic: Sölukerfi > Skráning og viðhald > Vörur).
If your product list is still showing the old look, click Switch to New Look at the top of the page.
1. Select the products
Search for the products you want to change — for example by typing part of a product name or product number into the search box and pressing Enter.
Then tick the products in the list, or tick the box in the column header to select everything the search returned. As soon as at least one product is selected, an action row appears above the list showing how many products are selected.
Click Bulk edit. The number in brackets tells you how many products you are about to change.
2. The table
The products open in a table where each row is one product and each column is one editable field.
- Product name is the fixed column on the far left. It shows the product name and product number and stays in place as you scroll right. The name itself is not edited here — you change it on the product.
- Columns marked with an asterisk (*) — Price excl. VAT, Price incl. VAT and VAT — are linked. Change one and the others are recalculated for you.
- On the far right are the quantities by location columns, one per stock location.
- More products load automatically as you scroll down, so you can select a large batch without waiting.
3. Edit the cells
Click a cell and start typing, or press Enter or F2 to open it for editing. Enter commits the change and moves the selection down to the next row; Esc cancels it.
Some cells are drop-downs — Status, Product group, VAT and Supplier, for instance. There you pick from the values that already exist.
Changed cells are highlighted in amber and show the old value → new value, so you can always see what you have changed before saving. In the screenshot below, three products were repriced. In the top row Price excl. VAT was changed from 1,400 to 1,540 and Price incl. VAT was recalculated automatically from 1,736 to 1,910.
Nothing is saved until you click Save. Until then the changes exist only on screen and you can undo them.
4. Choose which columns you see
Click Edit columns to open the column list. There you can:
- show and hide columns with the eye icon,
- look for a column using the Search columns box,
- and reorder columns by dragging them with the handle on the left.
Regla remembers your choice — the same columns, in the same order, are waiting for you next time you open bulk edit.
Lower down the column list are Allow discount, Allow price overwrite, Max discount (%) and Is product in stock control — settings that are often most convenient to change across many products at once. The three yes/no settings are tick boxes in the table; Max discount (%) takes a number between 0 and 100. Like every other cell, a tick box is only a pending change until you click Save.
Below those, in the Quantities by location group, are the stock columns. Locations that hold stock for the selected products are shown automatically; you can switch the rest on yourself.
5. Copy, paste and fill down
- Ctrl+C and Ctrl+V copy and paste. You can paste straight from Excel — select a range in Excel, copy it, and paste it into the table.
- Drag the blue dot in the bottom-right corner of the selected cell to copy its value down into the rows below.
- Hold Shift with the arrow keys to extend the selected range.
Values that do not fit the column are rejected on paste, and Regla tells you how many were rejected.
6. Keyboard shortcuts
Click the question mark in the toolbar to see all the shortcuts.
7. Undo and redo
The arrows in the toolbar undo (Ctrl+Z) and redo (Ctrl+Y) your changes. They appear once you have made your first change.
8. Save
Click Save. The number in brackets tells you how many products have unsaved changes.
When the save succeeds you get a confirmation at the bottom of the screen and stay in the table — it does not close.
If something goes wrong:
- Cells with invalid values are marked in red, and Save stays disabled until you fix them.
- If individual products fail to save, they are listed with an explanation. The products that did save keep their new values, and the ones that failed are still unsaved, so you can correct them and try again.
Worth knowing
- Unsaved changes. If you try to leave bulk edit — or close the browser tab — with unsaved changes, Regla asks whether you want to continue. Changes that are not saved are lost.
- Variants. Variants appear beneath their parent product. Price and location can be changed on the variant itself, but product groups, status and the settings above are controlled on the parent product.
- Cost is only visible if you have permission to see cost prices.
- Stock quantities. A change to a quantity is recorded as a stock correction with a traceable transaction — the number is not simply overwritten.
- If you only want to add products to a product group, the Flokkar button on the product list is quicker.
